Why Your Team Needs Sub-Emails: Streamline, Secure, and Scale Your Communication

Introduction:

Ever find yourself drowning in a shared inbox chaos where “info@” receives everything from job applications to billing reminders? Yeah, not cute. As your startup scales, your email strategy should too. That’s where functional sub-emails(or aliases) come in—your best bet for organized, secure, and team-friendly communication

What Are Sub-Emails?

Sub-emails or aliases are additional email addresses that route messages into a primary inbox(like info@makers.com) or their own designated inboxes. These emails aren’t separate accounts you don’t need to log in to each one. Think of them as smart doors leading to focused conversations.

Examples:

jobs@makers.com: All hiring and recruitment emails

zapier@makers.com: Only automation/tool notifications

billing@makers.com: Finance and payment alerts

Why Use Sub-Emails?

1. Clear Segmentation

Each sub-email acts as a filter. Job applications don’t get mixed up with sales inquiries or Stripe notifications. Everything has a place.

2. Enhanced Security

You don’t have to share your main login. Give your team access to specific inboxes or integrate with Slack for viewing-only permissions.

3. Easy Collaboration

Hook these aliases into Slack channels. Example: Emails to ''jobs@makers.com` trigger a message in `#hiring-updates`. Everyone’s looped in, no inbox diving.

4. Brand Professionalism

Your clients see ''support@'', ''hello@'', ''jobs@''. You look like you’ve got your s**t together. (Because you do.)

5. Automation-Ready

Want to trigger a Zap every time `zapier@makers.com` receives an error notification?

Boom—you’re ready to roll.

How to Set Up Sub-Emails in Google Workspace(Gmail)

You’ll need to have Google Workspace admin access.

Option 1: Create an Alias for an Existing User

1. Go to [admin.google.com](https://admin.google.com/)

2. Navigate to Users → Click on the user (e.g. `info@makers.com`)

3. Scroll to User Information' n Click Email aliases

4. Add new aliases like: - `jobs@makers.com`, `zapier@makers.com`, `billing@makers.com`

5. Save. Emails sent to the alias will now appear in the primary user’s inbox

Option 2: Create a Group Email for Shared Access

1. From Admin console → Groups

2. Click Create Group

3. Name: `Jobs`, Email: `jobs@makers.com` 4. Set group access level (e.g. who can post, who can view)

5. Add team members who need access

6. Enable "Send As" permission if needed

Use this method if multiple people need to read/respond without using one login.

Connecting Sub-Emails to Slack

1. Use tools like [Slack Email App](https://slack.com/apps/A0F81R7U7-email) or Zapier.

2. For example: - Trigger: New email to `zapier@makers.com`

Action: Post summary in `#automations-alerts`

Add your team to the Slack channel = they see what’s happening without email overload.

Practical Examples:

  • For Agencies: ''clients@agency.com'' → Centralized client comms

''design@agency.com'' → Used in Canva/Figma logins

  • For Startups: - `pitch@startup.com` → For investors & speaking gigs

''product@startup.com'' → App reviews and user feedback

  • For Nonprofits: - `donate@yourorg.org` → Fundraising emails

''volunteer@yourorg.org'' → Volunteer inquiries and RSVPs

Wrap-Up: Sub-Emails = Email with Strategy

Sub-emails aren’t just cute vanity handles. They’re your ticket to clarity, control, and

collaboration. With just a few tweaks in your Google Admin, you can build an email ecosystem that runs itself while keeping your team in the loop—without sharing passwords or clogging inboxes.
